Folder Series

Inspections often need to be performed in intervals (yearly, quarterly, monthly)  To accommodate this requirement, we have a "Create Series" feature available when creating new folders on the web.

What is a Series

When you create a series you are actually creating multiple folders and scheduling them at specified intervals.  Pay close attention to the example below.  I'll be creating a series of "Maintenance" folders to the "Delta" company every 3 months (quarterly) on the first Tuesday of every quarter beginning on 3/1/2016 until 3/31/2017 scheduled to 2 of my users.  I know this inspection typically takes 2 days so I've set the duration of the folder schedule to 2 days.  So this will end up creating 4 folders and scheduling them to my users quarterly.

Explanation of the Fields

Field Description
Repeats How often should this folders inspection be scheduled (Monthly, Weekly, Daily)
Every Entering a 1 will repeat every month (week, day).  2 will repeat every other month (week, day). 3.... and so on
Repeat By Only availble for monthly repeats.   Day of the Month will repeat the series on the number day of that month.  If created on the 3rd, it will repeat the 3rd of every month in the series.  Day of Week will repeat by that day of the week for that month.  So if created on the 2nd Tuesday of the month, it will repeat the 2nd Tuesday of every month after that until the series ends.
Start Date The date the series first folder should be on.
End Date The date by which the series should end on.
Start Time The scheduled start time. This will be applied as the start time for the scheduled user.
Note: This time will be localized to the scheduled users timezone.
End Time The scheduled end time. This will be applied as the end time for the scheduled user.
Note: This time will be localized to the scheduled users timezone.
Description This description is added to each folder created in the series on the folders "Description" field.
User The users to schedule this series of folders to.  If you don't know who will be performing the inspection you can just select yourself as the user.  Then as the inspection gets closer you can easily schedule the folder to the users that will be performing the inspection.
Scheduled For This is the duration in day that each schedule should be for.  For example if you know that the inspection typically takes 3 days to finish you would set this to 3 days.  So for example this would cause the first folder (and every subsequent folder) to show up on the users schedule for the 1st - 3rd as the duration was specified as 3 days.


What happens when I edit a folder in a series?

If a folder belongs to a series you'll see a "link" icon in that folders header.  Clicking this link will take you to a list of folders that are part of this series:

Adding a form to a folder in the series

When you add a form to a folder that's part of a series you can optionally "Cascade" the form to the rest of the folders left in the series (the ones scheduled after this one).  

When "Cascade Forms?" is checked and you click "Create Forms" a new form will be created on the folder you're in and a new form will be created in the remaining folders in this series.  The remaining forms will be created and added in the background after you click "Create Forms" so you may not see the new form in those remaining folders for a short period of time.

Deleting a form from a folder in the series

When you delete an asset form from a folder in a series you can optionally "Cascade" that delete to the rest of the folders left in the series (the ones scheduled after this one). 

Cascade delete is only available for Asset Forms because we know exactly which form to delete from the remaining folders in the series (the ones tied to that asset).  You will be presented with a confirmation asking if you'd like to delete the forms from the succeeding folders in the series (and how many are left), check the option if you would like to delete the remaining forms in the series.  After "Yes, delete the Form" is clicked the remaining forms will be deleted in the background.

Please note that you CANNOT delete the entire folder series with one click.  If you create the series, and wish to delete the folders you scheduled, you will need to go into each individual folder you create to delete it.
