Data Retention & Restoration Policy
How Far Back Can We Restore Your Data?
1. Purpose
This document explains how InspectAll retains and restores customer data. It is written for customers who ask: “How far back can you restore our data?”
The short answer is: for as long as your account is active. Because we almost never permanently delete your data, soft-deleted records can normally be restored no matter how far back they go.
InspectAll is designed for highly regulated industries (crane inspections, OSHA compliance, EHS, healthcare facilities, and similar). Our default approach is to preserve inspection history, asset records, photos, priorities, and related data so you can meet regulatory and operational needs.
2. Core Principle: Soft Deletes
InspectAll primarily uses soft deletes.
When you (or a user in your account) delete a form, folder, asset, priority, form template, or similar record, the data is almost never permanently removed from the system. Instead, it is marked as deleted. The underlying record remains in the database and can be restored by changing its status back to active.
Hard (permanent) deletes are rare and are only performed in limited circumstances:
- Specific privacy requests (after appropriate verification)
- When legally required
- Photos, files, and attachments that have been soft-deleted for more than 60 days
- Data that was never successfully synced from a mobile device (local-only data deleted before sync)
- After the post-cancellation retention period ends (see Section 6)
3. What Data Is Retained
The following categories of customer data (“Your Data” under the Master Subscription Agreement) are retained for the life of an active subscription unless a hard-delete exception applies:
- Inspection Forms & Reports | Soft-deleted; restorable indefinitely while account is active. Available in Audit Log.
- Assets, Folders & Priorities | Soft-deleted; historical records remain available. Full asset history is preserved.
- Form Templates | Soft-deleted and restorable. Soft-deleting a template does not delete previously completed forms.
- Photos, Files & Attachments | Follow soft-delete rules. May be permanently deleted after 60 days in a soft-deleted state.
- Users & Activity Logs | Deleting a user preserves all historical work performed by that user. Admin Activity Logs retained.
- Account Configuration | Retained for the life of the active account. |
Note: Data that exists only on a mobile device and has not been synced to the cloud cannot be recovered if deleted. Best practice is to sync regularly.
4. How Restoration Works
Self-Service
Deleted forms, assets, and folders that have been synced can be restored directly in the web application:
- Navigate to the Folder or Asset where the form was deleted.
- Open the Audit Log tab.
- Locate the deleted form and click “Restore Form.”
- Ensure “Forms Deleted” is visible on your dashboard if needed.
There is no time limit on restoring soft-deleted forms. Records from years ago remain restorable as long as the account remains active and the data was successfully synced.
Other Records (Support-Assisted)
For other records not found in the activity logs and other soft-deleted objects, contact InspectAll Support. Because these records are soft-deleted, restoration is performed by updating the deleted status.
Typical response time: usually within 24 hours.
Please include:
- Account name and approximate date of deletion
- Description of the record (asset ID/serial, folder name, form title, template name, etc.)
- Contact information for confirmation
5. Backups & Disaster Recovery
In addition to soft deletes, InspectAll maintains continuous database replication every 5 minutes. These backups are retained for two weeks and support disaster recovery and system-level restoration in the event of a platform incident.
Important distinction: Soft-delete restoration (changing a status flag) is the normal and preferred method for customer-requested restores. We do not offer or use point-in-time recovery from backups for individual customer record restores.
6. Account Termination & Post-Cancellation Retention
While your subscription is active, soft-deleted data remains restorable indefinitely.
Upon account cancellation or termination, InspectAll retains customer data for 60 days to allow for data export or final restoration requests. After this 60-day period, data may be permanently deleted.
Most customers who need additional time simply drop to a single license rather than fully canceling. Export tools and support assistance are available during the active period and the 60-day window. Customers are responsible for exporting any data they need to retain for their own regulatory or business purposes.
7. Regulatory & Compliance Context
InspectAll is used by customers subject to OSHA (including 29 CFR 1910.179 for overhead cranes), ASME, CMAA, NFPA, and other standards. Our long-term retention of inspection history supports customers’ ability to demonstrate compliance.
However, InspectAll does not determine or guarantee your regulatory retention obligations. You remain responsible for understanding and meeting the specific record-retention requirements that apply to your operations, equipment, and jurisdiction. Soft-delete retention is provided as a practical capability, not as a substitute for your compliance program.
8. Data Ownership
As stated in the Master Subscription Agreement, you retain ownership of Your Data. InspectAll acquires no intellectual property rights in customer-submitted data. We process and store it solely to provide the Services.
9. Requesting Restoration or Data Export
To request restoration of soft-deleted data or assistance with data export:
- Email support@inspectall.com
- Or open a support ticket through your account
Include account details and a clear description of the records needed. Restoration of soft-deleted items is typically completed within 24 hours.
