Device Management and Device Limits
As InspectAll has grown so has our commitment to the security and stability of your data. A common feature request of most of our larger corporate customers has been better device management. Mainly knowing and limiting who and from what device is the data being accessed. To address this issue we're releasing a security feature to help manage and limit the devices under a named login. Not being able to manage and know who has access to your login can be a security blindspot for any organization. We recently turned on the ability to see what devices have accessed your login recently.
Device management is available for InspectAll Admin users. Admin users will have the ability to remove and manage the devices accessing a user login for their account. In addition to managing the devices, the platform will also restrict the number of devices to 3 per login. The 3-device limit recognizes the multi-device world we live in (I use an iPhone and iPad to perform inspections), while also preventing unauthorized devices from accessing your account should someone log in as you.
Overview
Each InspectAll user should have a designated login to access InspectAll. Not only does that provide our clients with accountability, but it also prevents users from inadvertently overwriting each other's data by sharing a login. Unique logins also allow the InspectAll team to support individual users, and prevent non-users from communicating about a customer's account. Each InspectAll license can have one user login associated.
How it Works
This new security feature will limit any InspectAll user to 3 devices (for instance, a user can be logged in on their phone, tablet, and computer simultaneously). Be sure to continue to follow the Best Practices for Syncing and Working Offline. Once a user has reached the 3 device limit, and they try to login to an additional device, they will receive a message that lists the devices currently using their login and be given the opportunity to choose a device to logout of to continue the login process on the current device. Once a user has chosen to logout of another device, that device will no longer be able to sync.
The new device limit feature further ensures our clients' security by logging the device type, name, and time each user logs into their InspectAll account via the app. Administrators can see these user logins and details in the User's profile under #7, "Devices" as shown below. An Admin user will also have access to remove any excess devices (over the 3 device limit). This limitation prevents any users previously logged in from accessing an account and retrieving or updating data. Note: If you want to remove a device that should not be accessing the login, also ensure you or the authorized user update the password for that login to ensure the unauthorized device no longer has access.
What You Should Do
Ensure that you have a unique login and license for each of your InspectAll users and that none of your users are sharing licenses. More information can be found HERE.
